Klara Self-Scheduling and eClinicalWorks both let patients book or reschedule their own appointments online, so a practice on eClinicalWorks can drop Klara's self-scheduling and move it into healow Open Access. Keep eClinicalWorks, cut Klara. Enable healow Open Access so patients book from the practice website, the Patient Portal, or the healow app and see providers' real schedules and open slots. Because Open Access reads and writes against the eClinicalWorks practice schedule, the booked slot lands directly on the same provider calendar used for clinical documentation, orders, and billing — no double-entry and no external sync the way a bolt-on tool needs. Point the practice's 'request an appointment' links and reminder texts at healow Open Access instead of Klara's text/automated flow, including the after-hours self-booking Klara was handling.
- Warning: Klara lets patients self-schedule purely by text with no portal login; healow Open Access booking flows run through the website widget, Patient Portal, or healow app — confirm the un-enrolled patient base can still book (and which providers/visit types are exposed in Open Access) before cutting Klara.
- Warning: Open Access only offers the slots and rules configured in the eCW schedule; a thin or mis-scoped provider/visit-type setup will under-serve patients — re-validate the schedulable visit types against what Klara was booking.
- Warning: Klara positions scheduling as the entry point into pre-visit instructions and reminders; rebuild that downstream automation in the eCW/healow stack (reminders, intake) so the patient journey is not lost when Klara is removed.
Klara and eClinicalWorks both provide two-way secure patient messaging, so a practice already on eClinicalWorks can retire the standalone Klara/ModMed Patient Engagement contract and move messaging into the eCW Patient Portal and the healow app. Keep eClinicalWorks, cut Klara. Have patients send secure messages from the Patient Portal / healow app instead of Klara; because the portal is tightly linked to the EMR, those messages are stored in the chart under the same patient identity used for clinical documentation, refills, and billing, and staff triage them in the eCW message workflow instead of the phone system. A refill request or reply becomes part of the record rather than a thread to copy back. Redirect the practice's published messaging links and patient onboarding to healow Patient Portal enrollment so there is a single secure inbox.
- Warning: Klara's signature 'call-to-text' (converting an inbound phone call into a text thread) has no native healow/Patient Portal equivalent; if the practice depends on it, keep a separate SMS/voice front door or accept phone-origin contacts returning to the phone queue.
- Warning: healow secure messaging runs through the Patient Portal / healow app (enrollment + login), whereas Klara texts patients on plain SMS — plan to re-enroll the un-registered patient base and confirm portal/app adoption before cancelling Klara, or reachability drops.
- Warning: Export and archive open Klara conversation threads before closing the account; the eCW Patient Portal will not import historical Klara message history into the chart.
- Warning: Confirm the practice's eCW patient-engagement entitlements (Patient Portal + healow messaging) are active for all sites before cutting Klara, since Klara may currently cover locations not yet live on the portal.
